How Blue Unified 18 Entities with Odoo ERP to Streamline Cleaning and Waste Management Operations

Blue

Managing a single business across multiple departments can be challenging. Managing a diverse group of companies, each with its own operations, workflows, and requirements, is a different level of complexity.

For Blue, a UAE-based provider of environmental, cleaning, waste management, and technical services, the need was clear: the group needed one ERP platform that could connect its companies while still giving each entity the flexibility to manage its own operations.

Blue’s activities cover a wide range of specialized services, including waste collection and recovery, energy-saving solutions, food waste technologies, technical services, cleaning and decontamination, pest control, and facility management.

To support this growing and diverse operation, APPSGATE implemented an Odoo-based ERP solution across 18 entities within the Blue and Al Serkal Group structure. The implementation brings sales, field operations, finance, inventory, procurement, manufacturing, customer management, and intercompany processes into one connected environment.

The challenge: managing complex operations across multiple entities

Blue’s operations aren’t limited to one type of service. Teams work across customer sites, manage vehicles and equipment, consume materials, coordinate technicians, process contracts, handle collections, and manage financial transactions.

That makes having accurate information at the right time particularly important.

For example, a field service team needs to know what work has been scheduled and what resources are required. Finance needs visibility into the costs associated with each job. Procurement needs to know what materials are required, while management needs a clear view of performance across different companies.

Blue also operates specialized services such as grease trap cleaning, used cooking oil collection, waste treatment, pest control, duct cleaning, water tank cleaning, and industrial cleaning. Each activity comes with its own operational requirements.

Rather than forcing all of these activities into one generic workflow, APPSGATE designed the ERP implementation around the way Blue actually operates.

How APPSGATE implemented Odoo for Blue

The solution combines Odoo’s standard applications with APPSGATE-developed modules to support Blue’s specific business processes.

Blue
1. CRM and sales management

Odoo CRM and Sales give Blue a structured way to manage leads, opportunities, quotations, customers, and sales orders.

More importantly, the sales process is connected to what happens after a deal is won.

Instead of sales information sitting separately from operations and finance, teams can work from the same customer and contract information. This creates a smoother handover from sales to service delivery and billing.

Different entities can maintain their own sales workflows while management retains broader visibility across the group.

2. Field service and operations management

A large part of Blue’s work happens at customer locations, making field service one of the most important components of the ERP implementation.

Odoo Field Service and Projects help teams schedule activities, assign jobs, manage work, record time, and track the resources involved in service delivery.

This supports a wide range of Blue’s services, including:

  • Grease trap installation and cleaning
  • AC duct cleaning
  • Kitchen exhaust cleaning
  • High-pressure jetting and drain cleaning
  • Lift station and sump pit cleaning
  • Cooling tower and industrial tank cleaning
  • Water tank and pipeline cleaning and disinfection
  • Pest control
  • Garbage chute cleaning
  • Disinfection services
  • Duct and pipe video inspection
  • Laundry duct cleaning and lint removal

Because field operations are connected with other parts of the ERP, Blue can link service activities with sales, materials, timesheets, costing, and accounting.

3. Job-level costing

For a service business, knowing what was charged to a customer is only part of the picture. Blue also needs to understand what it cost to deliver that service.

The Odoo implementation provides structured job-level costing, allowing the business to track costs associated with projects and service activities.

Depending on the operation, this can include employee time, materials, operational expenses, and other costs connected to a job.

This gives management better visibility into the profitability of individual contracts and services and supports more informed pricing and commercial decisions.

4. Accounting and financial management

Odoo Accounting provides a common financial platform across the participating entities.

Sales, purchasing, inventory, projects, and operational activities can feed into financial processes, reducing duplicate data entry and improving consistency.

The multi-company structure also supports intercompany accounting and transaction processing, helping the group manage financial activity between its different entities in a more organized way.

5. Automated collections and PDC management

Customer collections are another important part of Blue’s financial operations.

As part of the implementation, APPSGATE developed a PDC Management module to support post-dated cheque processes and payment tracking.

The solution also supports collection workflows, giving finance teams better visibility over outstanding receivables and customer payment activity.

6. Inventory and material management

Blue’s field and operational teams depend on having the right materials and consumables available when they are needed.

Odoo Inventory provides visibility into stock, warehouses, product availability, stock movements, and material consumption.

APPSGATE also implemented a Material Requisition module, giving teams a structured process for requesting materials internally and connecting those requests to inventory management.

This helps reduce reliance on informal requests and gives management greater visibility into operational material requirements.

7. Procurement and RFQ comparison

Procurement requirements can vary between Blue’s companies and service areas, particularly when different teams are purchasing different types of materials, equipment, and services.

APPSGATE’s custom RFQ Comparison functionality gives purchasing teams a structured way to compare supplier quotations before making purchasing decisions.

Together with Odoo Purchase, this creates a more organized procurement process, from the initial requirement through supplier selection and purchase order creation.

The platform also leaves room for additional procurement capabilities to be introduced as the group’s requirements evolve.

Manufacturing and specialized environmental operations

Not all of Blue’s activities are service-based. Some entities are involved in manufacturing, treatment, and environmental processing activities that require additional operational controls.

Blue 2

For these entities, Odoo Manufacturing and Quality provide the foundation for managing production, materials, work orders, and quality processes.

The implementation also includes specialized requirements for Blue Biofuels Factory LLC and the Envirol entities, including integration with FOG Watch.

This is particularly relevant to Blue’s operations involving food waste, fats, oils, and grease.

Blue has also built a significant used cooking oil collection operation. According to the company’s information, it was the first entity in the UAE to collect used cooking oil and has collected more than 20 million litres for responsible recycling.

With an integrated ERP environment, these activities can be connected with inventory, manufacturing, sales, and financial processes, creating better visibility across the operation.

Quality management

Quality control is an important part of environmental, cleaning, food waste, and technical services.

Odoo Quality allows checks and quality processes to be incorporated into relevant operational and manufacturing workflows.

For Blue, this provides a structured way to record quality activities and support consistent processes across different operations and entities.

Customer portal and digital access

The implementation also includes a customer portal, giving customers a digital channel to access relevant information and interact with Blue.

For a business managing recurring services, contracts, and field activities, a portal can make routine communication more convenient and give customers greater visibility into their relationship with the company.

APPSGATE custom Odoo modules

Standard Odoo applications provide the core ERP functionality, but Blue’s requirements also called for several custom capabilities.

APPSGATE developed modules for key processes, including:

PDC Management

Supports post-dated cheque processes, payment tracking, and collection activities.

Material Requisition

Creates a structured workflow for requesting and managing materials required by operational teams.

Dynamic Approvals

Provides configurable approval workflows that can be adapted to different business processes and organizational requirements.

RFQ Comparison

Helps procurement teams compare supplier quotations and make purchasing decisions based on structured information.

These custom modules work alongside Odoo’s standard CRM, Sales, Projects, Purchase, Inventory, Accounting, Manufacturing, Quality, Field Service, HR, and Timesheet applications.

Building a stronger ERP foundation for Blue’s growth

Blue’s implementation is a good example of how an ERP system needs to reflect the reality of the business rather than simply digitize existing paperwork.

With 18 entities operating across environmental services, waste management, cleaning, facility management, food waste, technical services, and specialized manufacturing, there isn’t a single workflow that fits everything.

The Odoo implementation brings the group’s key processes into one connected platform while allowing individual entities to retain the workflows and structures relevant to their operations.

From sales and customer management to field service, materials, job costing, accounting, collections, manufacturing, and intercompany transactions, the different parts of the business can now work from a shared ERP foundation.

Future phases

The Odoo platform also gives Blue room to continue expanding its digital capabilities.

Future phases can introduce additional functionality, including advanced procurement and expanded HRMS capabilities, while building on the systems and workflows already established across the group.

This approach allows Blue to continue improving its ERP environment without having to replace the core platform as its requirements grow.

Conclusion

For a group operating across 18 entities, bringing business processes together is a significant undertaking.

Blue needed more than an accounting system or a basic business management platform. Its operations required an ERP capable of handling field service, environmental and cleaning activities, waste management, inventory, manufacturing, job costing, collections, procurement, accounting, and intercompany transactions.

Through APPSGATE’s Odoo ERP implementation, these processes are brought together within a shared platform designed around Blue’s operational requirements.

The result is a scalable ERP foundation that supports Blue’s current operations while giving the group the flexibility to continue expanding and improving its digital processes over time.
